General Manager

We’re seeking for an experienced General Manager to support our team and to ensure strategic goals are met by setting operational policies, creating and maintaining budgets, managing employees, and more. As an ideal candidate, you’ll have proven experience overseeing operations, human resources, contractual matters, and finances. Experiences with communications would be a plus. You’re an adept leader with strong business mind and a knack for organization and collaboration across a range of departments. Objectives of this Role

  • Oversee day-to-day operations in close cooperation with the creative production team, the design team, the studio management, and accounting
  • Develop, implement, and maintain budgetary and resource allocation plans
  • Review and improve organizational effectiveness by developing processes, overseeing employees, establishing a highly motivated work environment, and creating innovative approaches for improvement
  • Enforce all policies, procedures, standards, specifications, guidelines, training programs, and cultural values
  • Recruit, onboard, and motivate high-performing employees
  • Seek out opportunities for expansion and growth by developing new business relationships

 

Daily and Monthly Responsibilities

  • Maintenance of incoming/outgoing invoices overview; monitoring of “Pleo”, the expenditure management system; management and control of external accounting; coordination with external tax consultancy
  • Preparation and maintenance of financial and liquidity plans
  • Provide guidance and feedback to help others strengthen specific knowledge/skill areas
  • Be a person of trust for employees and identify potential issues
  • Provide guidance for contracts, terms & conditions, NDAs and other contractual matters
  • Manage job application processes and communication

 

Skills and Qualifications

  • Proven experience in a managerial role
  • Strong decision-making capabilities
  • Strong working knowledge of operational procedures
  • Above-average communication, collaboration, and delegation skills
  • Proven ability to develop and maintain financial plans
  • Ability to motivate and lead people

 

Preferred Qualifications

  • Experiences in a communication, advertising or design agency

(Senior) Project Manager

At flora&faunavisions, we pride ourselves on continuous evolution – not just in terms of our designs but also when it comes to our company structure. To adapt our working structure to our growing pipeline of international projects, we’re searching for a highly skilled project manager to contribute to our growth and help us maintain our position as an innovative authority. The ideal candidate will have production experience as well as strong work plan development and progress oversight skills. The (Senior) Project Manager will be expected to administer and oversee all projects of the studio and prepare/present progress updates to management on a regular basis, ensuring the goals we seek are being met.

 

Objectives of this Role

  • Administer and supervise projects from requirements definition through deployment, identifying schedules, scopes, budget estimations, and project implementation plans, including risk mitigation
  • Coordinate internal and external resources, ensuring projects remain within scope, schedule, and defined budgets, in close collaboration with the teams from both the production and the design departments
  • Analyze project progress and, when necessary, adapt scope, timelines, and costs to ensure that project team adheres to project requirements
  • Guide the project teams, providing purpose, direction, and motivation
  • Establish and maintain relationships with appropriate client stakeholders, providing day-to-day contact on project status and changes

 

Daily and Monthly Responsibilities

  • Establish and maintain processes to manage scope over the project lifecycle, setting project quality and performance standards, and assessing and managing risk within, and across, multiple projects
  • Develop and maintain partnerships with outside resources like freelancers and third-party suppliers for extended capacity planning
  • Monitor and assign resources appropriately to streamline project efficiency and maximize deliverable outputs
  • Prepare offers/quotes for new business inquiries
  • Prepare invoices for clients based on the project plan
  • Report project outcomes and/or risks to management as needed, escalating issues as necessary

 

Skills and Qualifications

  • 5+ years project management experience
  • Hands-on experience with utilizing web technologies and software platforms for maximum usability
  • Strong attention to deadlines and budgetary guidelines
  • Experience coaching and educating project teams to strengthen team members’ capabilities and skill sets

 

Preferred Qualifications

  • Professional certification PMP or PRINCE II
  • Previous success in implementing a project management software platform from the start
  • Experiences with project management in a design, event, communication, or advertising agency, or the like

Personal Assistance (f/m/d) to the Chief Creative Officer (CCO)

Our founder is also our CCO and main networker. Besides directing our projects creatively, she also handles clients, leads, and a lot of other administrative work at the same time – which means less time for creative work. Since outstanding designs and ideas are our main expertise and service, we are looking for a Personal Assistance – full-time or part-time with a minimum of 25 hours/week – to support our CCOs strategic role.

 

Objectives of this Role

  • Work closely with CCO to provide administrative support
  • Act as a first point of contact
  • Liaise with management, staff, suppliers and clients
  • Manage diaries and organize meetings and appointments
  • Manage the (social media) communication for CCO and the studio
  • Implement and maintain procedures/administrative systems

 

Daily and Monthly Responsibilities

  • Manage social media accounts, databases and filing systems
  • Carrying out background research and produce documents, briefing papers, reports and presentations
  • Screen inquiries and requests, and handling them when appropriate
  • Meet and greet clients and other stakeholders at all levels of seniority
  • Arrange travel, transport and accommodation
  • Collate and file expenses

 

Skills and Qualifications

  • 3+ years in a similar role
  • Strong personal interest for design, art, and/or architecture. Interest for technology and tools used to create design is a plus
  • Social media savvy: Well-versed in the use of social media platforms like Instagram, LinkedIn, TikTok, Twitter and others
  • Very good knowledge of Office suite (Word, Excel, Outlook, Teams)
  • Fluent in German and English, other languages are a plus
