Our founder is also our CCO and main networker. Besides directing our projects creatively, she also handles clients, leads, and a lot of other administrative work at the same time – which means less time for creative work. Since outstanding designs and ideas are our main expertise and service, we are looking for a Personal Assistance – full-time or part-time with a minimum of 25 hours/week – to support our CCOs strategic role.
Objectives of this Role
- Work closely with CCO to provide administrative support
- Act as a first point of contact
- Liaise with management, staff, suppliers and clients
- Manage diaries and organize meetings and appointments
- Manage the (social media) communication for CCO and the studio
- Implement and maintain procedures/administrative systems
Daily and Monthly Responsibilities
- Manage social media accounts, databases and filing systems
- Carrying out background research and produce documents, briefing papers, reports and presentations
- Screen inquiries and requests, and handling them when appropriate
- Meet and greet clients and other stakeholders at all levels of seniority
- Arrange travel, transport and accommodation
- Collate and file expenses
Skills and Qualifications
- 3+ years in a similar role
- Strong personal interest for design, art, and/or architecture. Interest for technology and tools used to create design is a plus
- Social media savvy: Well-versed in the use of social media platforms like Instagram, LinkedIn, TikTok, Twitter and others
- Very good knowledge of Office suite (Word, Excel, Outlook, Teams)
- Fluent in German and English, other languages are a plus
- Excellent time management
- Understanding for the need of structured financials
